Updates with Jen 

Joe is currently in week 17 of building Great Lakes Online Counseling. He has hired his virtual assistant, Jen, from Ubuntu Freelancers, and together they have been getting more balls rolling for the new practice. 

At the moment, they have recently:   

  • Made their first clinician hire 
  • Connected Jen and Tom from Session Sites to fine-tune the practice’s website 
  • Gotten their team Trello board set up 
  • Shared LastPass passwords and accounts to make switching between platforms easy and secure
  • Launched their shared Google Calendar

Now, during this podcast conversation, they have set up an intake email address on the website for prospective clients. 

Getting verified on Google My Business

The next part of Joe and Jen’s meeting was about verifying Great Lakes Online Counseling on Google My Business to help boost SEO and online traction. 

While Joe initially thought that they’d have to rent office space, Jen explained that the address is only needed to verify the account, and that could be a valid home address. 

I realized, and I saw that they recommend not putting in a rental office or a hiring space. You can put your own location, and it is not public. So, you have a setting [where] no one can see the location; it’s just to get verified on Google Business. (Jen) 

Therefore, Joe can use his home address to get verified, and it won’t show up on their listing as a searchable Google Maps route if he sets it as private. 

Onboarding the new clinician

Even before the offer, it might be that the VA or the hiring person, that could be me, verifies their license … Having the VA do some of that double-checking would make sense, and I think that would even be pre-offer. (Joe Sanok)

From an operations standpoint, 

  • Joe will introduce the new clinician to Jen, the virtual assistant
  • Jen will take over the onboarding process after Joe has vetted their credentials and met them 
  • Get the clinicians’ CAQH and NPI numbers 
  • Rewrite the clinician’s bio from a client-centric perspective

For example, “I love helping clients who are dealing with depression and anxiety after divorce”, instead of starting with, “I’m Joe, I went to Western Michigan University, and I got this degree” … that [the bio] is really centered around their ideal client. (Joe Sanok)
